Role Summary
We are recruiting a Transport Administrator to join our transport and depot team. The successful candidate will provide administrative and operational support to ensure efficient planning, documentation and movement of plant and equipment. This role requires strong organisational skills, attention to detail, excellent communication, and a proactive approach to supporting drivers, planners, and depot staff.
Key Responsibilities
- Provide day-to-day administrative support to the transport team, including:
- Processing work orders
- Updating delivery schedules
- Maintaining transport records
- Coordinate with transport planners and depot staff to:
- Allocate vehicles and drivers
- Monitor job progress
- Communicate changes to customers and sites
- Prepare and issue delivery paperwork, job sheets, permits and customer documentation:
- Ensure accurate completion and electronic submission where required
- Manage inbound and outbound calls and emails whilst dealing professionally with:
- Customer enquiries
- Driver queries
- Supplier communication
- Maintain and update transport databases, including:
- Vehicle logs
- Tachograph records
- Compliance documentation (as per company procedures and legal requirements)
- Support the booking and scheduling of vehicle maintenance, inspections, and repairs by liaising with workshops and depot teams
- Monitor drivers’ hours, DQC/CPC records, and licence validations; flagging expiries or non-compliance to the transport manager
- Produce routine performance metrics and reports for the transport manager such as:
- Delivery performance
- Vehicle utilisation
- Incident logs
- Assist with health & safety administration by:
- Recording incidents
- Maintaining toolbox talk attendance records
- Supporting a safety-first culture
- Contribute to continuous improvement projects and process reviews, including:
- Training delivery
- Enhancing transport administration
- Improving customer service standards

Skills and Attributes
- Proven experience in transport administration, logistics support, or depot administration, preferably within haulage, plant hire, or construction sectors
- Strong organisational and time management skills, with the ability to prioritise competing tasks and meet deadlines
- Excellent written and verbal communication skills, including a professional telephone manner and customer-focused approach
- High attention to detail, particularly for documentation, data entry, and compliance records
- Strong IT skills, confident in Microsoft Office applications (Excel, Word, Outlook) and experience with transport management systems or databases
- Ability to collaborate effectively across teams and build positive relationships with:
- Drivers
- Site staff
- Other stakeholders
- Remain calm under pressure
- Flexible and proactive mindset with a commitment to health & safety and company procedures

Qualifications
Essential
- Previous experience in a transport, logistics, or administrative role, with relevant sector knowledge
- Competent IT skills, including experience with Excel and electronic record keeping
- Strong communication skills and the ability to manage multiple stakeholders professionally
Desirable
- Familiarity with transport management systems, telematics platforms, or depot operating systems
- Knowledge of Drivers’ Hours regulations and experience managing tachograph records and Driver Qualification Checks (DQC/CPC)
- Previous exposure to plant hire or construction industry processes
