Transport Support Coordinator

Are you highly organised, confident using IT systems, and passionate about keeping operations running safely and efficiently?

We're looking for a Transport Support Coordinator to join our Transport team and play a key role in supporting our fleet operations, on a fixed term contract basis ensuring compliance, and delivering excellent administrative support.

Working closely with the Fleet Supervisor and Transport team, you'll help maintain a safe, compliant, and well-organised transport operation. No two days are the same, and you'll be at the heart of ensuring vehicles, drivers, contractors, and visitors are managed professionally while supporting the smooth day-to-day running of the department.

What You'll Be Doing

  • Providing administrative support to the Fleet Supervisor and Transport team
  • Managing third-party repairers, ensuring repairs are coordinated, paperwork is completed, and progress is monitored
  • Ensuring all third-party drivers, contractors, colleagues, and visitors follow site rules, use designated walkways, and wear the correct PPE
  • Debriefing drivers, downloading vehicle and tachograph data, maintaining compliance records, and updating Excel spreadsheets and transport systems
  • Completing and filing transport compliance documentation to maintain audit-ready records
  • Supporting the allocation of vehicles to the correct routes, ensuring any specialist equipment requirements are met
  • Maintaining the integrity and safety of the transport yard, ensuring vehicles are parked correctly and working areas remain clean and organised
  • Managing goods in and goods out administration, delivery bookings, and maintaining the delivery booking system (IMD)
  • Answering incoming calls and responding to transport-related queries from colleagues and external stakeholders
  • Recording vehicle movements, inspections, defects, incidents, and fleet information accurately
  • Carrying out stock checks on transport consumables, ensuring essential items are always available
  • Working collaboratively with other departments to support business operations and resolve transport-related issues
  • Identifying opportunities to improve processes and escalating any concerns or operational issues where appropriate
  • Promoting a positive health and safety culture while ensuring all procedures comply with BRC requirements and current legislation

Requirements

You'll be an organised and proactive administrator who enjoys working in a fast-paced environment and takes pride in maintaining high standards of compliance and customer service.

You'll ideally have:

  • Excellent written and verbal communication skills
  • Strong IT skills, including Microsoft Office, particularly Excel
  • Great attention to detail and the ability to maintain accurate records
  • Experience producing, maintaining, and reporting data
  • The ability to prioritise workloads and manage multiple tasks effectively
  • Confidence communicating with colleagues, drivers, contractors, and stakeholders at all levels
  • A customer-focused approach with the ability to resolve queries professionally
  • The ability to work independently as well as part of a team
  • An understanding of transport compliance, vehicle legislation, tachograph systems, or fleet administration would be advantageous, although training can be provided for the right candidate

Full Time 08:30am-5:00pm Monday-Friday

Contract

This is a Fixed term contract for 6 months minus 2 days
