Role: Customer Service Administrator – Travelwise Team Employer: UHS Estates Ltd (UEL) – Wholly owned subsidiary of University Hospital Southampton NHS Foundation Trust


Job Overview

We are seeking an exciting opportunity to join our team at UHS Estates Ltd (UEL). This internal vacancy is currently open only to current employees of UHS/North Ormsby Student Park (NHSP bank).


About the Role

The Travelwise Team supports service users of staff car parks and patient visitor car parks in a busy, fast-paced environment. This role blends traditional face-to-face customer service with office administration and welcomes candidates with the right skills and drive.

Reporting to the Administration Supervisor and Travelwise Office Manager, this post involves:

  • Managing car parking administrative services for Southampton General Hospital.
  • Continuous use of Microsoft and generic software to support operations.
  • Working in a small, collaborative team alongside a frontline customer service environment.

Key Responsibilities

  • Customer-Optimised Administrative Support: Provide efficient services alongside colleagues, service users, and stakeholders.
  • Exceptional Service & Compliance: Deliver high-standard customer service by upholding UHS Trust values and vision, demonstrating tact, discretion and sensitivity in interactions with patients, relatives, carers, and external agencies.

Requirements & Qualifications

Minimum Criteria

  • GCSE Maths and English (Grade 4–9 or equivalent).
  • Proven administrative experience, including:
    • Cash handling.
    • Customer-facing roles (frontline customer service).
  • Strong IT skills (proficient in Microsoft Office packages).
  • Ability to perform tasks under UK-based NHS employment terms, including:
    • Shift flexibility (main 08:30–17:00 Monday–Friday).
    • Daily customer interactions with high service intensity.
    • Good complaints handling skills.
    • Teamwork and customer support experience.

Technical & Transferable Skills

  • Personality Traits: Polite, sympathetic, patient and diplomatic; maintains calm under pressure.
  • Flexibility: Adaptable to fluctuations in workload.
  • Computer Literacy: Windows-based systems, invoice/booking management, basic IT troubleshooting.

Desirable (Nice to Have)

Experience with hospital patient-facing IT systems or shift-based roles would be beneficial.
