Our Walsall Energy Recovery Facility
Encyclis is constructing a brand new Energy Recovery Facility in Walsall, England. This facility will:
- Reject landfill by processing household, commercial, and non-hazardous industrial residual waste.
- Generate 49 megawatts of low-carbon energy annually—enough to power over 90,000 homes.
- Process over 436,000 tonnes of residual waste per year, diverting it from landfills.
Scheduled to open in 2027, this initiative is a vital step toward sustainable waste disposal.

The Opportunity: Facility Co-ordinator (Reporting to the Plant Manager)
This keystone role provides executive assistance to site managers while overseeing technical administration and document control systems. Your responsibilities will include:
Key Duties & Responsibilities
Strategic & Administrative Support
- Support the Plant Manager with executive assistant duties.
- Track and schedule Employee Relations Facility (ERF) staff training:
- Oversee administration of training certificates.
- Collaborate with department managers, team leaders, and supervisors to ensure compliance with safety critical training matrices.
- Arrange Operations & Maintenance (O&M) training with external providers.

Document & Systems Management
- Take full ownership of:
- Walsall Document Control systems
- SharePoint libraries, databases, and filing systems
- Use SharePoint to drive electronic signoffs for critical documents:
- SMI (Safety Management Instructions)
- LMI (Legal & Compliance Instructions)
- SOPRAs (Site Operations & Procedures)
- RAMS (Risk Assessment & Method Statements)
Shift & Personnel Coordination
- Maintain accurate records of:
- Staff holidays (dayshift schedules).
- Operations & Maintenance shift rotas.
- Provide administrative support during facility outages.
Document Upload & Control
- Upload records onto SharePoint for:
- Toolbox talks
- Operational briefings
- SOPRAs & RAMS
Facility Maintenance & Supplies

Supervise the administrative block cleaning team to uphold high cleanliness standards in:
- Meeting rooms
- Offices
- Welfare facilities
- Workplace cabins

Manage stocks and supplies:
- Welfare materials (for staff amenities).
- Cleaning and sanitary products.
- Stationery (across all admin facilities, offices, and meeting rooms).

Budget management:
- Leases and replenishments for:
- Water machines
- Coffee dispensers
- Confectionery supplies
- Leases and replenishments for:
Meetings & Guest Coordination
- Organise internal and external meetings/events, including:
- Catering arrangements
- Specialised travel, transport, and accommodation bookings
Reporting & Induction Support
- Compile administrative reports, presentations, and written correspondence relating to the Walsall ERF.
- Maintain and facilitate:
- Staff induction & onboarding records.
- PPE (Personal Protective Equipment) orders & tracking compliance with internal standards.

Technology & IT Support
- Liaise with the IT Manager to manage:
- IT requirements across the site.
- Inventory management.
Site Operations Assistance
- Cover reception duties for visitors.
- Administer site and Health & Safety inductions.
Meeting Minutes & Record-Keeping
- Take minutes during:
- Key Operations & Maintenance (O&M) meetings
- Engineering Planning (EPC) sessions
- Communicate meeting outcomes to stakeholders.
Documentation & Brand Compliance
- Design administrative documentation (e.g., letterheads) for all site communications.
Education & Experience Requirements
Qualifications
- Preferred: National Diploma or National Vocational Qualification (National 3 or 2) in a technical or science-based subject.
- Alternative Considerations: Relevant qualifications combined with first-hand experience in:
- Energy recovery
- Large industrial process plants
Experience
- Ideal: Previous roles in either:
- The energy sector
- The construction industry
- Essential: Experience working as:
- A technical administrator or assistant
- An executive personal assistant (PA)
Skills
Communications
- Outstanding verbal and written English.
Technical Proficiency
- Advanced IT literacy, especially:
- Microsoft Office: Excel (data analysis), Word, PowerPoint, Teams, OneDrive, and SharePoint.
- Ability to read, analyse, and interpret technical and procedural documentation.
Administration & Reporting
- Create sophisticated reports and presentations at Board-level (using Excel, PowerPoint).
- Strong understanding of budgets and financial systems.
