UK - Facility Coordinator, Walsall ERF

Encyclis is constructing a brand new Energy Recovery Facility (ERF) in Walsall, Midlands. This facility will provide a sustainable alternative to landfill, using household, commercial, and non-hazardous industrial residual waste (post-recycling/composting) to generate clean electricity. It will process over 436,000 tonnes of waste per year and produce 49 megawatts of low-carbon energy, powering over 90,000 homes—beginning commercial operations by 2027.

The Opportunity

Role: Facility Coordinator (Walsall)

Reporting to the Plant Manager, this keystone role combines executive assistance, technical administration, and document control oversight to support all operations aligned with Encyclis’ business policies.


Key Duties & Responsibilities

Administrative & Coordination Support

  • Provide executive assistant support to the Plant Manager
  • Track and administer ERF staff training, including managing training certificates
  • Consult with department managers, team leaders, and supervisors to enforce safety-critical training requirements
  • Arrange Operations & Maintenance (O&M) training with external providers

Document Control & Technical Systems Management

  • Assume full ownership of Walsall’s document control systems (including SharePoint databases and filing systems)
  • Facilitate electronic sign-offs using SharePoint (for SMI, LMI, SOPRAs, and RAMS)
  • Maintain dayshift staff holidays and Operations & Maintenance shift rotas
  • Assist managers in outage administration, streamlining ad-hoc procedures

Welfare, Procurement & Logistics

  • Oversee document uploads to SharePoint for toolbox talks, briefings, SOPRAs, and RAMS
  • Supervise admin block cleaning teams to maintain high cleanliness standards (offices, welfare, cabins)
  • Manage stocks of welfare, cleaning, and sanitation supplies
  • Maintain cost-effective inventory of stationery for all admin and meeting facilities
  • Administer leases, refurbishments, and replenishments for machines (e.g., water, coffee, vending supplies)

Event & Travel Coordination

  • Organise and schedule internal/external meetings and events (including catering)
  • Arrange specialist travel, accommodation, and transport bookings

Reporting & Compliance Documentation

  • Compile admin reports, presentations, and correspondence
  • Prepare and maintain staff induction and onboarding records
  • Review PPE orders and records of issue per EN Standard, working with approved suppliers
  • Liaise with the IT Manager on site IT requirements, including stock management of IT consumables

Visitor & Induction Support

  • Cover reception duties for visitors (including H&S inductions)
  • Take minutes at O&M / EPC meetings and communicate outcomes to stakeholders
  • Design administrative documentation (e.g., templates, letterheads) for site communication needs

Education & Experience Requirements

Qualifications

  • Preference for students with a National Diploma or National Vocational Qualification (Level 3 or 2) in:
    • Technical or science
    • Adherence observed for alternative qualifications based on energy recovery or large-process plant experience

Experience

  • Desirable:
    • Previous work in energy, construction, or industrial sectors
    • Experience in technical administration/PA roles

Key Skills

  • English proficiency (spoken and written)
  • Advanced IT literacy:
    • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
    • Teams, OneDrive, SharePoint
  • Ability to read, analyse, and interpret general and technical procedures/documentation
  • Capacity to draft and format Board-level reports (PowerPoint/Excel)
  • Financial acumen for budgeting and cost controls
