University Event Coordinator
Location: London & Egham (with occasional travel) Contract: Temporary (June – December 2026) Hours: Full-time (40 hours per week) Hourly pay: £16–£18 per hour
The Role
This opportunity is ideal for someone with a passion for combining event coordination, stakeholder engagement, and operational support within the field of early careers recruitment. You’ll play a central role in delivering university recruiting events, ensuring a seamless experience for candidates, interns, and internal stakeholders—from initial planning through to execution.
What You’ll Be Doing
- Supporting D&I-focused university recruiting events
- Organising and delivering hybrid events across London, Egham, and virtual formats
- Managing end-to-end event logistics, including:
- Room setup
- Catering and supply coordination
- Travel arrangements
- Event materials handling
- Coordinating:
- Career fairs
- Networking events
- Onsite and virtual interview days
- Providing support for interns during onsite programmes and activities
- Posting job opportunities in multiple languages and coordinating hiring activities (without screening)
- Maintaining accurate recruitment data across systems, with support for reporting,
- Handling event-related finance, including:
- Invoicing
- Expenses
- Purchase orders (POs)
- Building strong relationships with:
- Internal stakeholders
- University partners
- Third-party vendors and services partners
- Contributing to ad-hoc projects and driving process improvements

About You
We’re looking for a motivated individual with:
- Previous experience in event coordination, education, or project support
- Exceptional organisational skills, with the ability to manage multiple priorities simultaneously
- Strong communication skills and comfort working with global stakeholders
- A results-driven, proactive, detail-oriented approach to problem-solving
- Confidence in working independently while maintaining strong teamwork and collaboration
- Strong administrative skills, with proficiency in Excel and PowerPoint (preferred)
- Flexibility to travel locally (~10% of time) for onsite event support
- Willingness to be based in a commutable location near London and/or Egham
