Job Title: Project and Helpdesk Admin
Location: Mitie Ltd. Heathrow IRC

Reports To: Project Manager / Head of Facilities
Job Summary
We are seeking a highly organized and detail-oriented Project and help desk Admin to support the planning, execution, and delivery of projects across various departments. Also, to help on the reactive side of FM to support Helpdesk Day to day operations. The ideal candidate will assist in coordinating schedules, resources, and information while ensuring project deadlines are met and standards are maintained in help desk.
Key Responsibilities
- Assist in developing project plans, schedules, and budgets under the guidance of the Project Manager.
- Monitor project progress and handle any issues that arise.
- Act as the first point of contact for all FM service requests.
- Coordinate internal resources and third parties/vendors for the execution of projects.
- Prepare and maintain comprehensive project documentation, plans, and reports.
- Communicate with team members and stakeholders to clarify project requirements and timelines.
- Track deliverables and ensure timely submission of key project milestones.
- Organize meetings, take minutes, and follow up on action items.
- Receive, log, prioritize, and allocate reactive maintenance requests.
- Monitor helpdesk tickets from receipt through to completion.
- Ensure all work orders are updated and closed with accurate information.

Qualifications
- 1–3 years of experience in project coordination or help-desk role.
- Strong organizational skills with a problem-solving attitude.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Excel and project management tools.
- Ability to work well in a fast-paced, collaborative environment.
Preferred Qualifications
- Project Management Professional (PMP) or CAPM certification.
- Experience in [specific industry, e.g., IT, construction, healthcare, marketing].
- Familiarity with Agile or Scrum methodologies.
