Virtual Assistant — Property & Lettings Admin (Remote, UK Hours)
Compensation: £350–£400 per month

ARC London Property Services (trading as Home Let London Ltd) is a property management and lettings company operating across south and east London, with growing operations in Birmingham. We work closely with several London councils — including Lambeth, Croydon, Sutton, Southwark, Lewisham, Barking and Dagenham, and Tower Hamlets — to place tenants into private rented properties under guaranteed rent and leasing schemes, helping landlords access reliable income while supporting councils to house tenants who need it. It's a fast-moving, high-volume business built on strong relationships — with landlords, councils, and the tenants we place — and on getting the paperwork right every time.
I'm the Director, and I'm looking for a Virtual Assistant to work directly with me, taking full ownership of the day-to-day admin that keeps this process running smoothly. This is a genuine long-term opportunity — the plan is for you to grow into running this process independently, with increasing responsibility over time as you learn the business.
What you'll be doing
- Managing my email inbox and sending emails on my behalf, in my voice
- Sourcing new landlords with studio, 1-bed, 2-bed, 3-bed and 4-bed properties across south London boroughs, to keep our pipeline of available stock full
- Submitting property details (certificates, photos, floor plans, rent terms) to council contacts across our different boroughs, and following up on responses
- Logging every tenant referral from the council onto a live, shared tracking spreadsheet the moment it comes in
- Notifying my business partner of new tenant placements quickly — within 10 minutes during working hours — so no opportunity is lost
- Checking tenancy paperwork (tenancy agreements, landlord declarations, certificates) against a set checklist before it's submitted to the relevant council
- Chasing council contacts on delayed responses or payments
- Keeping the tracking spreadsheet fully up to date as each placement moves through its stages, from first contact through to signed paperwork
- Keeping track of which processes and contacts differ between councils (Lambeth, Croydon, Sutton, Southwark, Lewisham, Barking and Dagenham, Tower Hamlets), as each has its own submission style and contact
- General WhatsApp and admin support as needed

What I'm looking for
- Excellent written English — you'll be writing emails as me, so tone, clarity and professionalism really matter
- Confidence reaching out to landlords cold (phone, email, or platforms like SpareRoom/OpenRent) — some comfort with outreach or lead generation is a plus
- Strong attention to detail — this role involves checking legal and financial paperwork for accuracy before it's submitted to a council, and keeping track of different requirements across multiple boroughs
- Confidence working in Google Sheets — no advanced formulas required, but you should be comfortable navigating, updating, and not losing track of information in a shared, live spreadsheet
- Reliable and responsive during UK working hours (Monday–Friday, 9am–6pm UK time) — a number of tasks in this role are time-sensitive
- Trustworthy and discreet — you'll have access to my email inbox and business WhatsApp, and will be handling sensitive tenant and financial information
- Property, lettings, or admin/VA experience is a strong plus, but not essential — full training is provided, along with a detailed written process manual covering every stage of the job

Hours & logistics
- Part-time, remote
- UK working hours required (Mon–Fri, 9am–6pm)
- Tools: Gmail, WhatsApp, Google Sheets (all training provided — no prior experience with our specific setup needed)
- Compensation: £350–£400 per month, depending on experience
