Ward Clerk – Administrative Support Management Team
Located at: Epsom Littlewood Hospital, Making Healthcare OneNHS
About the Role
An integral part of the ward team here at the Empress Gardens Unit, we are seeking a well-organized, proactive, and proficient Ward Clerk with outstanding time management, people skills, and communication abilities.
The Ward Clerk is responsible for delivering a comprehensive administrative service, ensuring high standards in clerical duties, and maintaining seamless support for patients, relatives, and clinical teams.
Key Responsibilities
Patient & Relative Liaison
- Act as a primary point of contact between patients, relatives, and clinical teams
- Provide clear, concise, and regular updates to patient’s loved ones and relatives
- Facilitate smooth transitions for patient attendance on the ward
IT & Documentation
- Accurately update the Hive system with patient records and clinical updates
- Handle incoming telephone enquiries with professionalism, sensitivity, and timeliness
- Maintain confidentiality at all times while ensuring all administrative duties are completed diligently and to a high standard
Professional Standards & Compliance
- Operate within departmental policies, protocols, and guidelines
- Identify opportunities to improve processes and working practices while maintaining high efficiency

Collaborative Support
- Work closely with Consultants, Doctors, and nurses to ensure optimal patient care
- Embrace teamwork, respect, and inclusion to sustain a positive working environment
- Apply a methodical, flexible approach in a fast-paced and varying workload setting
IT & Customer Service Expertise
- Demonstrate excellent IT skills, particularly in systems related to call handling and data input
- Exhibit a patient-focused mindset with a commitment to delivering high-quality administrative support
Requirements
- Excellent verbal/written communication skills, particularly in phone-based interactions
- Customer service experience, preferably within a healthcare or people-facing role
- Proven IT proficiency, including data entry, reporting, and software proficiency
- Analytical mindset and strong attention to confidentiality and accuracy
- Ability to work independently while remaining collaborative and proactive
- Commitment to on-site learning for the first 4 days of employment (to facilitate personalized training alongside experienced team members)
