Ward Manager Assistant - Castle Ward (Fixed Term to June 2027)
Band 3 Ward Manager Assistant – Castle Ward (Rheumatology/Endocrine)
Fixed-term contract: 20 June 2027 (to cover maternity leave)
Are you driven and eager to work in a dynamic clinical care environment? Our Castle Ward—a 29-bedded unit specialising in rheumatology and endocrine patients, as well as general medical conditions—seeks an enthusiastic Ward Manager Assistant to join a supportive, professional team.
The successful candidate will work Monday to Friday, 0900 to 1700, thriving in a multi-professional, multi-skilled team to ensure a smooth-running ward.
About the Role
This brand-new post offers a unique opportunity to:
- Review and refine administrative processes for greater efficiency
- Foster collaborative working with clinical teams, patients, and external services
- Drive continuous improvement through analysis of service user feedback and audits
Key Responsibilities
Supporting ward operations and workflow:
- Provide secretarial and administrative assistance to klinical and managerial teams
- Manage ward meetings by preparing and distributing necessary paperwork
- Type, file and disseminate letters, reports, and meeting action notes
- Maintain records of annual leave, sick leave, and shift rotas

Patient and staff interactions:
- Handle enquiries and communications from patients, visitors, and referring departments
- Liaise with health visitors, external services, and estates departments (e.g., equipment servicing)
Quality improvement and HR support:
- Compile audits and identify areas for service enhancements
- Assist in recruitment processes (administrative steps, induction materials)
- Coordinate mandatory training and delegate workload efficiently
Budget and procurement:
- Source and procure ward supplies and equipment within approved budgets
Working Environment
Castle Ward operates as a 29-bedded medical ward with a diverse patient mix. Although based within rheumatology/endocrine care, ward staff must also accommodate general medical admissions, ensuring seamless patient transitions and record-keeping. The area experiences a busy flow with patients admitted overnight and liberated by day, requiring effective coordination and communication.
