Vacancy Title: Warehouse Admin Assistant

The Role
This role provides comprehensive administrative support to warehouse and logistics operations. It is responsible for maintaining accurate stock records, processing warehouse documentation, coordinating inbound and outbound shipments, supporting inventory control activities, and liaising with internal and external stakeholders. The Warehouse Administration Assistant ensures timely and accurate information flow across the warehouse operation, contributing to operational efficiency, customer satisfaction, and regulatory compliance.
Key Responsibilities
- Maintains accurate warehouse records, ensuring inventory movements, stock adjustments, and transaction data are entered and updated within agreed timescales.
- Produces and manages warehouse documentation including goods received notes, delivery notes, shipping documentation, picking lists, and stock reports.
- Supports goods-in and goods-out processes by recording deliveries, verifying documentation, and ensuring all transactions are accurately documented.
- Assists with stock counts, cycle counts, and inventory audits, investigating and resolving discrepancies in collaboration with warehouse colleagues.
- Monitors stock levels and reports shortages, damaged goods, or inventory concerns to the appropriate operational leaders.
- Coordinates communication between warehouse teams, transport providers, suppliers, and customers to ensure smooth operational activities.
- Responds to internal and external enquiries relating to orders, deliveries, stock availability, and warehouse administration matters.
- Maintains filing systems and document control processes, ensuring records are accessible, accurate, and compliant with company requirements.
- Produces regular operational reports relating to inventory accuracy, stock movements, customer orders, and warehouse performance metrics.
- Supports scheduling and coordination of deliveries, collections, and transport activities as required.
- Assists in maintaining Warehouse Management Systems (WMS) and other operational systems, ensuring data integrity and process compliance.
- Escalates operational issues, stock discrepancies, or process concerns to warehouse leadership in a timely manner.
- Supports continuous improvement initiatives by identifying opportunities to improve administrative efficiency and data accuracy.
- Collaborates with warehouse and operational teams to ensure service levels are achieved and customer expectations are met.

Experience and Qualification
- Experience using Microsoft Office applications, particularly Excel, Word, and Outlook.
- Experience working with Warehouse Management Systems (WMS) or ERP systems would be advantageous.
- No formal management experience required for this role.
