Location: Pet Drugs Online, UK Division: IVC Evidensia Group, E-commerce & Retail Contract: 40-hour flexible shift (7am–3:30pm weekends, 11am–7:30pm weekdays, 1 weekend/month)

About the Role

Pet Drugs Online is the UK’s leading online pet pharmacy and retailer, dedicated to making it easy for pet owners to access trusted medication, healthcare products, and essential supplies quickly and safely. As part of the IVC Evidensia Group, the company blends the energy of a growing e-commerce business with the expertise of a leading veterinary healthcare provider.

This role is focused on ensuring that all customer orders are fulfilled safely, on time, and in full while balancing workloads to optimise labour efficiency. You will lead a high-performing team to manage stock integrity and meet operational targets—both for domestic processing and regulatory requirements (e.g., prescription compliance).

Reporting line: Warehouse Manager Core priority: Ensure seamless flow of inbound & outbound stock, meet customer order deadlines, and uphold standards in dispensing (especially controlled and non-fentanyl prescription medications).


Key Responsibilities

Operational Leadership

  • Manage and allocate shift resources efficiently to meet internal and external demand priorities.
  • Develop & nurture a high-performing, motivated team, including 1:1s, appraisals, and collaborative people management.
  • Maintain up-to-date training records and documentation for all staff.
  • Oversee accurate picking, packing, and safe dispatch of all orders (OTIF: On Time In Full compliance).

Team Efficiency & Improvement

  • Supply and monitor KPIs for labour efficiency and on-time delivery rates (OTIF).
  • Drive project initiatives to enhance workflows, reduce errors, and optimise order flow.
  • Collaborate with peer Team Leaders to ensure consistent processes and best practices.

Stock & Order Management

  • Safely handle regulated and high-risk materials, including prescription medication (NHS-controlled, NFA-VPS codes).
  • Verify end-of-day courier deliveries/sends (Royal Mail, DHL).
  • Monitor physical stock accuracy against order documentation and resolve discrepancies promptly.
  • Manage and escalate missed stock collections for internal processing.

Regulatory & Compliance Support

  • Support internal & external audits (including Fraud/Security) to ensure compliance.
  • Work with compliance teams where subspecialization applies (e.g., EU/UK pharmacy regulations).

Cross-Departmental Collaboration

  • Partner with customer service, dispatch, and logistics teams to improve delivery flows and reduce inefficiencies.
  • Contribute to both retail and wholesale fulfilment priorities.

Person Specification

Essential Experience & Qualifications

  • Proven experience in a warehouse or retail distribution environment.
  • High-throughput fulfillment (picking/packing) experience with order prioritization skills.
  • Enterprise Resource Planning (ERP) system familiarity (e.g., Khaos Control is desirable).
  • Full proficiency in Microsoft Office (Word, Excel, PowerPoint for reports & record-keeping).
  • Customer-focused mindset with a commitment to accuracy and safety.
  • Excellent communication skills (both written and verbal) for team/stakeholder updates.
  • Attention to detail, problem-solving, and a core sense of responsibility.
  • Ability to multi-task, establish priorities, and work under pressure.
  • Forklift licence (or ability to obtain soon).

Desirable Attributes

  • Prior team leadership experience.
  • E-commerce experience with agile scheduling demands.
  • Knowledge of complex order routing, such as controlled substances processes.
