Job Title: Wedding & Event Co-Ordinator

Location : Ashridge House, Berkhamsted, Hertfordshire, HP4 1NS

Reports to : Event Manager

Working hours : Monday–Friday, weekends as needed for events/showcases.


The Opportunity

An exciting opportunity exists to support our rapidly growing events business as a Wedding & Event Co-Ordinator. We seek an ambitious, highly organised individual with exceptional people skills who can join our dynamic Events team. This role involves turning couples' dream weddings into reality, delivering client events (from business conferences to private functions), and working across both B2C and B2B.

Your key focus will be collaborating with clients and internal teams, including Food and Beverage, to provide flawless service and drive revenue growth.


Responsibilities

  • Coordinate and deliver onsite events for clients, ensuring all requirements are met, expectations set, and effective communication is maintained.
  • Proactively inform internal teams of event needs and client preferences to secure successful deliveries for all stakeholders.
  • Update the CRM database with client information and correspondence to support business intelligence and client management.
  • Build and nurture professional, long-term relationships to enhance client satisfaction and contribute to business growth.
  • Respond to client inquiries, liaise with internal teams, and assist the Sales team in client meetings, showcases, and repeat bookings.
  • Develop a strong rapport with clients to understand and meet their unique needs.
  • Maintain accurate, up-to-date filing of all correspondence.
  • Provide historical context about Ashridge House and, when required, deliver concise guided tours.
  • Generate and send timely, accurate invoices, follow up on payments, and escalate where necessary.
  • Utilise project and financial management systems (Opera), monitor financial data, and manage debt efficiently.

Key Attributes

Essential

  • 3+ years of experience in a similar venue delivering exceptional client-centric service.
  • Highly organised, detail-oriented, with strong multi-tasking and time management skills to thrive in fast-paced environments.
  • Energetic, proactive, and adaptable with strong relationship-building abilities.
  • An exceptional team player who collaborates across teams, respects other priorities, and fosters a positive work environment.
  • Willing to go above and beyond, including additional hours when necessary.
  • Technically confident, with a quick-learning attitude and strong skills in Microsoft Office, Opera, etc.
  • Excellent written and verbal communication skills, with strong listening abilities and client-facing credibility.
  • Proficient negotiator and influencer to agree responsibilities and align teams.

Desirable

  • Experience with events and/or Food & Beverage teams.
  • Familiarity with Opera CRM.
  • Experience with HubSpot.
  • Commercial awareness of contracts, pricing, and cost implications.
