We’re exciting to hire a Welcome Desk Agent to join our award-winning hotel team at W Edinburgh, proud recipient of the Scottish Hotel of the Year 2025. This is your opportunity to step into the spotlight of hospitality, immersed in passion for connecting guests with unforgettable experiences.

As a Welcome Desk Agent (reporting to the Welcome Office Manager), you will create indelible moments from the very first encounter—transforming stays through genuine, personalis[ed], five-star service. The ideal candidate is a friendly, multi-skilled colleague’—believing in anticipating and exceeding guest expectations!


📌 Key Responsibilities

  • First Impressions Matter:
    • Warmly welcome every guest, using eye contact and a friendly verbal greeting (include name where possible).
    • Offer genuine appreciation paired with a fond farewell.
  • Anticipate & Adapt:
    • Probe guest needs (questions aligned to preferences) and act proactively.
    • Keep notes on room services, restaurant choices and adjust to special requests—as an ally, not an obstacle.
  • Efficiently Handle Guest Operations:
    • Facilitate check-ins and check-outs smoothly.
    • Process all payments (cash, card, check) accurately.
  • Respond to Guest Concerns:
    • Address complaints, payment disputes or requests promptly and efficiently.
    • Record and decisively manage guest calls, messages, or questions while providing accurate directions (to property amenities, local sights).
  • Strengthen Vertical Collaboration:
    • Foster seamless communication with departments like R&D, Maintenance, or Concierge.
    • Relay relevant info to all applicable teams to enhance the guest journey.
