Logistics Coordinator – Wholesale Shipments

Role Purpose
This is an office-based role within the Logistics Department, responsible for the coordination of all inbound and outbound stock movements with third-party warehouse partners. The role ensures that all client orders are accurately picked, packed, and shipped in line with each account’s specific requirements and delivery standards.
This position also plays a key role in inventory management and end-to-end shipping operations across the business, supporting both wholesale and retail functions. This includes oversight of picking and packing processes for retail operations to ensure accuracy, efficiency, and service excellence.
As Erdem continues its growth journey as a high-potential, expanding business, this role is a critical operational link in strengthening and scaling best-in-class logistics processes. It is instrumental in driving operational excellence, improving efficiency, and ensuring a consistently high standard of service across all supply chain activities.
Responsibilities & Key Deliverables

Build and maintain strong, trusted relationships with internal teams and external wholesale clients, ensuring a consistently elevated standard of communication, responsiveness, and service across all touchpoints.

Take full ownership of daily coordination with third-party warehouse partners, overseeing:
- Inbound and outbound stock movements
- Inventory integrity
- All associated operational logistics requirements

Manage end-to-end communication with the Production team regarding inbound finished goods, including:
- Freight booking
- Supplier coordination
- Quotation management
- Consolidation of required shipping and customs documentation

Ensure timely and accurate fulfilment of all wholesale orders from third-party warehouses across the UK, Italy, and USA, aligned with:
- Seasonal delivery schedules
- Critical trading windows
- Client expectations

Develop and maintain strong relationships with:
- Freight forwarders
- Carriers
- Logistics partners
- To secure reliable, efficient, and cost-effective transportation solutions

Maintain accurate and up-to-date logistics data, including:
- Shipping records
- Contact databases
- Operational information across all internal systems

Act as a key point of contact for all:
- International shipping
- Customs compliance
- Import/export documentation
- Providing clear guidance and cross-functional support

Prepare, verify, and process all export documentation for global shipments, including:
- Customs declarations
- Certificates
- Supporting compliance paperwork
- Ensuring accuracy and regulatory alignment

Monitor shipments end-to-end from dispatch through to final delivery, including:
- Proactive exception management
- Resolution of delays
- Clear, timely updates to stakeholders and partners

Maintain and continuously refine seasonal shipping instruction manuals, ensuring:
- All processes are accurately documented
- Consistently updated within Zedonk and internal systems

Identify and implement opportunities for continuous improvement across logistics and supply chain operations, enhancing:

Manage wholesale and private client returns processes, including:
- Timely credit note processing
- Coordination of repairs or replacements
- Regular status reporting

Coordinate stock swap and re-order requests in collaboration with wholesale clients to support:

- Seasonal requirements

Investigate and resolve stock discrepancies through detailed inventory analysis, collaborating with:
- Warehouse teams
- Merchandising teams
- Finance teams

Support global wholesale stock allocation planning in partnership with:
- Wholesale and Merchandising teams
- Ensuring optimal in-season availability and fulfilment performance

Company Specialist: Logistics for International Events & Activations
- Coordinate logistics for:
- International events
- Activations
- Sales campaigns
- Shipment of merchandise, fixtures, and supporting materials in line with brand standards
- Coordinate logistics for:

Produce and maintain weekly logistics performance reporting, including:
- Shipment tracking
- Invoicing status
- Dispatch performance
- Ready-to-ship analysis

Oversee logistics and inventory processes for:
- Off-price stock
- Sample sale stock
- Ensuring accurate labelling, secure handling, and efficient warehouse execution
Minimum Standards of Performance

Hours of Work:
- As contract hours; consistent punctuality required
- Alterations must be agreed in writing with your line manager.

- Degree education or equivalent professional experience.
- Minimum 5 years’ commercial experience, ideally within apparel, luxury fashion, or premium wholesale, specialising in:
- Wholesale order management
- Logistics coordination

- Expertise in:
- HS code classification
- Customs regulations
