You’ll be the central point for workforce planning, scheduling, and compliance, ensuring staff are fully trained, qualified, and deployed as needed.
A fast-paced, collaborative role demanding:
- Strong organisational skills
- Acute attention to detail
- Cross-team relationship-building
Core Accountabilities
You will:
- Forecast staffing needs for trips, events, and operations
- Develop detailed staffing plans and cost models to support business performance
- Source, onboard, and manage external workforce suppliers (agencies)
- Negotiate rates, terms, and service agreements for cost control
- Ensure full compliance with UK and international labour laws (e.g., Right to Work, agency worker legislation)
- Manage timesheets, approvals, and reporting for temporary staff
- Maintain accurate records of skills, qualifications, availability, and worker locations
- Identify and resolve staffing gaps in collaboration with operational teams
- Allocate workers based on requirements, experience, and availability
- Handle last-minute staffing adjustments and emergency cover
- Verify completed onboarding, training, DBS checks, and safeguarding before deployment
- Build relationships with operational leaders, agencies, and casual workers to ensure seamless service delivery

Required Knowledge, Skills & Experience

- Proven experience in workforce planning, resource scheduling, or logistics
- Strong understanding of budget management and labour cost control
- Excellent planning, forecasting, and analytical skills
- Prior work in travel, logistics, events, or operations
- Exceptional stakeholder management and relationship-building
- Ability to prioritise multiple deadlines with fierce organisation
- Proficient in Microsoft Office (particularly Excel)
- Proactive, self-directed, and solutions-focused attitude
- Top-tier communication and customer service skills
- Miniature attention to detail with a focus on compliance and efficiency
Desirable but optional:
- Familiarity with global travel dynamics
- Previous experience in sports travel or events
