Workplace Experience Coordinator – London (Permanent)

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting for a Workplace Experience Coordinator to join our team in London on a permanent basis.
About the Role
As a CBRE Workplace Experience Coordinator, you will be responsible for delivering a world-class customer service experience to employees and guests of a designated building within the Workplace Experience function.
The Workplace Experience team provides world-class customer service for clients and visitors in a designated building.
Key Responsibilities

Front-of-house support
- Serve as the first point of contact for all entering the facility
- Greet visitors and staff with a welcoming and professional demeanour
- Issue visitor and parking passes, adhering to security protocols

Telephone and social etiquette
- Handle incoming calls professionally, creating a positive first impression
- Present information clearly and effectively to groups of varying sizes
- Craft presentations and facilitate meetings as required

Event and activity coordination
- Arrange, confirm, and manage recreational, dining, and business activities on behalf of the building’s community

Maintenance and operations assistance
- Process janitorial or maintenance requests as needed
- Facilitate workplace services including mail handling, office supply distribution, and employee onboarding processes

Conflict resolution and support
- Address professional and sensitive inquiries or complaints from employees, guests, and co-workers
- Offer customer-service-driven solutions in line with company standards

Event management
- Organise and manage on-site events, including:
- Securing event spaces
- Room setup and teardown
- Delivery and management of supplies

Emergency and security protocols
- Follow property-specific security and emergency procedures
- Notify relevant personnel to ensure the safety of everyone in the building

Vendor coordination
- Liaise with external service providers supplying goods and services to the workplace

Supportive role
- Explain complex processes to the team when instructed
- Follow established directions from the manager while maintaining procedural integrity
Note: This role operates within clearly defined procedures and standardised processes, with limited scope for independent discretion.

Qualifications:
- Hold a diploma (or equivalent) in a relevant field

Experience:
- Up to 2 years of job-related experience

Core skills and strengths:
- Ability to follow work routines and standard procedures
- Good communication skills with proficiency in exchanging straightforward information

Technical proficiency:
- Working knowledge of Microsoft Office products (Word, Excel, Outlook, etc.)

Soft skills:
- Strong organisational abilities
- Inquisitive and adaptable mindset
