About the Role
We are seeking a highly organised, detail-oriented, and people-focused Workplace Host to join our facilities management team in Greater Manchester. This role blends administrative expertise, customer service, and operational support to ensure seamless day-to-day operations for clients, trainees, and external stakeholders.
Purpose of the Role
This position ensures a welcoming, efficient, and professional experience for all visitors, learners, and contractors by:
- Supporting day-to-day operational and administrative tasks
- Managing front-of-house duties at reception
- Providing quality administrative and operational support
- Fostering a positive working environment for colleagues and clients
Key Responsibilities
Front-of-House & Customer Support
- Serve as the primary point of contact for resolving day-to-day operational queries.
- Welcome and greet all visitors, clients, and service users with a professional and friendly demeanour.
- Provide clear, accurate, and timely information (in-person, via phone, or email) to stakeholders about building services, training schedules, and facility policies.
- Maintain a clean, orderly, and inviting reception area at all times.

Administrative & Operational Support
- Collaborate with the Facilities Coordinators and Regional Facilities Manager to support portfolio operations.
- Process and report on purchase orders and invoices, ensuring vendor compliance.
- Manage and oversee vendors (cleaning, catering, office supplies) to uphold service standards.
- Coordinate meeting room bookings, including setup and technological support (in partnership with IT).
- Handle mail room cover (occasional) and standard administrative tasks (filing, printing, records management).
Facilities & Maintenance Coordination
- Liaise with building managers, landlords, and contracted subcontractors for maintenance requests.
- Participate in health and safety audits and supply chain evaluations.
- Address reactive and planned maintenance requests promptly.
- Assist in vendor management, ensuring contractual obligations are met.
Innovation & Initiatives
- Take a proactive approach to problem-solving and ad hoc requests.
- Support training materials preparation and decentralised operational workflows.
- Uphold Macro’s commitment to sustainability and smart building solutions (where applicable).
Requirements & Qualities
Essential Skills & Experience
- Proven administrative experience in a people-facing or FM-related environment.
- Exceptional communication and interpersonal skills with a customer-focused approach.
- Strong organisation, multitasking, and time-management abilities.
- Fluency in Microsoft Office (Word, Excel, Outlook) and scheduling tools (e.g., Microsoft Teams, scheduling apps).
- Ability to work independently and collaboratively with minimum supervision.
- Flexibility to adapt to varied tasks and unexpected demands.
- A passion for continuous learning and mentor-ing others.

Preferred Qualifications
- Prior experience in training facilitation, reception, or facilities administration.
- Basic understanding of facilities management (FM) processes (e.g., maintenance, vendor relations).
