PGIM Credit | Reception & Office Administrator

Fixed Term Contract – 12 Months

Role: Reception-Based Administrative Assistant (Graduate Office Solutions, London Corporate Finance Team)

Location London (Office-based, 5 days per week)

About the Role

PGIM Credit is seeking a dynamic and organised "Administrative Assistant" to serve as the first point of contact for the London Corporate Finance team. This role will require exceptional front-of-house management, seamless administrative excellence, and proactive support for senior colleagues across multiple business units.

A Fixed-Term Contract (12 months), the position demands full-time commitment with no hybrid options.


Key Responsibilities

Duties

  • Front-of-House Leadership

    • Oversee all reception duties, including managing meeting room schedules, welcoming staff, and maintaining office presentation.
  • Meetings & Logistics

    • Schedule and coordinate conference rooms, video conferences, refreshments, and in-person meetings, ensuring flawless organisation.
  • Travel & Expense Coordination

    • Plan, document, and monitor domestic and international travel arrangements, including itinerary preparation and expense tracking.
  • Email & Communication Management

    • Proficiency in email workflows, prioritisation, and responses on behalf of senior teams. Maintain a structured "to-do list system" and filing hierarchy.
  • IT & Technical Support

    • Support IT/device troubleshooting, liaising with the tech team to resolve mobile/local IT queries efficiently.
  • Communication & Calls

    • Direct and screen internal/external calls, directing non-routine matters to the Office Manager.
  • Post & Delivery Coordination

    • Distribute mail, arrange couriers, ensure postalbyte accuracy.
  • Meetings & Documentation Preparation

    • Provide note-taking, administrative assistance for investment professionals, procure refreshments, and manage expense documents and signage.
  • Liaison Within PGIM & Ground Floor Teams

    • Act as internal/external liaison, ensuring smooth communication between the London office, ground floor reception, and broader PGIM teams.

  • Office Inventory & Supplies

    • Maintain stationery, refreshments, and equipment stock.
  • Health & Safety

    • Conduct routine checks, uphold office welfare standards.
  • Team Assistant Support

    • Contribute to EA team operations, assist in priority-driven tasks.

Requirements

Qualifications & Experience

  • Proven experience as a receptionist, administrative assistant, or equivalent in a high-volume office environment.

  • Key Attributes

    • High energy, organisational prowess, and a positive attitude—ability to thrive in a team whilst functioning independently.
    • Excellent multi-tasking skills with an ability to adapt in hybrid environments and coordinate across teams in different locations.
  • Decision-Making & Initiative

    • Display confidence in resolving routine challenges and making informed decisions. Instrumental in communicating when elevating matters to superiors.
  • Self-Sufficiency

    • Operate with minimal supervision, prioritise effectively, and adhere to tight deadlines.
  • Soft Skills

    • Exceptional written and verbal communication; fostering strong internal/external relationships. Discretion and strong critical thinking for handling confidential matters.
  • Technical Proficiency

    • Microsoft Office mastery, especially Outlook for core administrative workflows.
