Company Description

📍 Location: Milton Keynes, MK17 8LX

💰 Pay: £28,000 (annual)

🕒 Working Hours: 8am - 5pm (Monday - Friday)

At Securitas, we’re reshaping how we plan, forecast, and deliver. As part of our growing Workforce Management function, we are seeking a Planning Administrator to support our forward-thinking planning efforts. This role is ideal for someone who loves working with data, excels in detail-oriented tasks, and enjoys helping teams succeed by improving planning processes.

About the Role: As a Planning Administrator, you’ll help create long-term workforce plans—ensuring our operations are well-resourced, resumed, and ready for success. You’ll play a crucial role in preparing for future demand by:

  • Building accurate workforce plans up to 12 months in advance.
  • Optimising scheduling using WFM systems, including Timegate (training available).
  • Foresight using data and historical trends to anticipate demand and risks.
  • Ensuring compliance, accuracy, and alignment between staffing, operations, and client needs.
  • Collaborating with stakeholders to refine workforce planning and recruitment.
  • Supporting payroll accuracy while maintaining robust data integrity.
  • Continuously refining processes to drive efficiency.

Job Description

Key Responsibilities:

Support the creation of long-term workforce plans, including:

  • Building rosters and coverage plans up to 12 months in advance.
  • Using WFM & Timegate systems to ensure precise scheduling (training provided if necessary).
  • Analysing trends and forecasts to predict demand and mitigate risks early.
  • Ensuring all schedules are accurate, compliant, and aligned with business/client needs.
  • Maintaining high-quality system data for reliable planning.
  • Working with stakeholders to refine operational priorities and workforce planning.
  • Identifying resourcing gaps and assisting recruitment strategies.
  • Supporting payroll accuracy via correct data input and query resolution.
  • Ensuring all personnel are trained, compliant, and deployment-ready.
  • Seeking ways to improve planning efficiency proactively.

Qualifications & Requirements

Essential:

  • Exceptional organisation, attention to detail, and confidence in operating data-driven systems.
  • Ability to manage multi-tasking priorities, particularly over long-term projects.
  • Practical IT skills, especially with WFM tools like Timegate (or similar rostering platforms).
  • Independent working culture with onus on owning projects.
  • Strong written/verbal communication competency.
  • Proactive, structure-driven mindset focused on "getting it right first time".
  • Right to work in the UK.
  • 5-year checkable employment history.
  • Ability to embody Securitas values: Integrity, Vigilance & Helpfulness.
  • Experience with Workforce Management systems (e.g., Timegate).

Desirable:

  • Microsoft Office proficiency.
  • Previous administrative/clerical experience.
